Step 1: Define your event

Set your target!First of all think about what you want to achieve by holding your event, in other words, what are the aims, in other words what do you want to achieve?

It could be a launch of a new product or service, increase your customer base, prospect potential customers, get the team together for a team building event and any of these will provide networking opportunities.

What form will the event take - business breakfast, conference, exhibition, networking lunch, product launch or seminar?

Is it appropriate for you to brand your event? Items to consider are the name of the event, a strap line, colour theme for printed material and any handouts that will be provided.

Most importantly, think about your target audience; think about who you would like to invite and whether or not they match your aims.

You could invite attendees from your customer base and ask them to invite another person, buy a list (many available) or use your networking contacts. Decide who to invite to match with your aims.

When is the ideal time to stage your event to get the take-up you're looking for?

Consider if there are any other events happening that might compete for your audience's time. This could include national events like major football matches, popular TV programmes and even the likely weather that have no connection with your event, but may influence the motivation of your attendees to actually turn up.

There will also be the speaker(s) and the talk, lecture, discussion or meeting arrangements. The speaker will need resources (what can they bring along and what will need to be supplied by the venue or you). Remember to have a contingency plan in place to get by without key pieces of equipment (or even the speaker) if they don't turn up on time! You can usually plan all this well in advance and confirm all the speaker’s requirements beforehand so that you have less to worry about on the day.

Finally, think about your team. How many people will be organising the event? Just you, or a team?

If you are organising your event in a team, make sure that everyone is clear about their responsibilities and how that feeds back to the aims of the event. Develop an action plan with deadlines to monitor the planning process. Has anyone in the team any experience of running this type of event, if so, could they give you any guidance?
